MANAGING HOA

Communication

One of the most effective ways to help increase support of Board decisions is through communication. If residents are informed of the issues facing their community and understand why the Board makes the decisions that it does, then they are more likely to support and comply with those community decisions. In addition, effective communication also allows residents to voice their comments, requests, concerns and ideas so that the Board can make its decisions based on the best interests of the entire community.

Community

To achieve support and adherence to the governance by the community, we encourage communication through board and/or committee meetings, newsletters, client portals, and Online Services for residents to stay current with meeting schedules, minutes, and necessary actions.

Responsibilities

Clear delineation of association responsibilities allows the association to optimize the use of Board, committee, and volunteer resources. Our management philosophy views the Board of Directors as the policy making body of the association. Our managers act as advisor to the Board when our expertise and experience can add value. We view our role as the Managing Agent for your community responsible for carrying out the directives of the Board. In this way the Board may delegate the day-to-day operations of the association to the manager such as:

  • Completing regular inspections of the property
  • Reporting violations of the Covenants, Rules and Regulations, and the Design Standards
  • Providing notice to homeowners whose property is out of compliance
  • Working with the homeowner to resolve the issue

As part of our maintenance program, we provide regular site inspections of the property, present our findings to the Board, and assist in securing bids when maintenance work is needed.

We have a proprietary RFP process utilizing a database of suppliers and supplier pricing that all but guarantees the lowest prices for our Condominium and Homeowner Association partners.

With our on-line service, daytime phone or fax numbers and our after-hours emergency phone line, residents are able to report their maintenance concerns from anywhere, anytime.

  • What's Needed
All new Contractors, Suppliers, and Vendors are required to provide and submit the forms listed below before your company will be considered an approved vendor and thus eligible for payment of goods and/or services performed.
  • Independent Contractor/Sole Proprietor Information Form
  • W-9 Request for Taxpayer Identification Number and Certification
  • Copy of your Trade Name Registration from the Secretary of State
  • Vendor Agreement Disclaimer of Liability Form
  • Liability Insurance Certificate from your Insurance Agent with a minimum of $1,000,000.00 in Liability Coverage
  • Current Workers Compensation Certificate (or in the case of a Sole Proprietor the Sole Proprietor, Independent Contractor Workers Compensation Indemnity Agreement Completed and Notarized)
